Your chat information. What we save and how we use it.

What we collect

We ask for your name and email before you start. We save those details, your messages, replies and the time of the conversation so the Fokus Haus team can understand and respond to your enquiry. The email address is supplied by you; this chat does not verify that you own it.

Where the information goes

Chat messages are processed through OpenAI to produce replies. Your name and email from the form are not included in those requests, but anything you type into a message is. Cloudflare hosts the chat service and stores the conversation as it progresses. A copy is saved in the team’s Google Workspace Drive when you end the chat or leave it idle for around 30 minutes.

The service does not automatically send you an email, make calls, book appointments or submit mortgage applications. Personalised advice comes from your adviser.

Keeping and deleting records

Chat records are kept until manually deleted by Fokus Haus. They are not automatically deleted after a fixed period. Contact hello@fokushaus.co.uk if you want to discuss access, corrections or deletion. A deletion needs to cover both the chat service’s record and its Drive copy. Records later added to a client case are handled separately.

Protecting the chat

The service uses request limits to reduce misuse. It stores a hashed network identifier for those limits and a temporary chat-session token in your browser’s session storage so you can reopen the chat in the same tab. Do not share bank details, identity documents, passwords, National Insurance numbers or medical information in the chat. The team can arrange an appropriate secure channel if these are needed.
